Once you have decided to book with MOVE & MOVE TOURS AND EVENTS PVT. LTD. please carefully read the following conditions.
Booking your Travel Arrangements: Payment & Confirmation
Payment Terms
Depending on how much you book in advance you must send us our completed Booking Form together with a deposit of 20% of your total holiday cost.
The balance of the cost of your arrangements must be received by us 90 days prior to the date of arrival. If all payments (including any surcharge where applicable) are not received on time, we are entitled to assume that you wish to cancel your booking and will retain the deposit paid. For those travelling during the Pushkar Fair period (November) or the Christmas/New Year period (20th December – 5th January),all final payments must be received by us 100 days before arrival.
If you book less than 90 days before departure. Full Payment must be sent with your booking confirmation.
It may on occasions be necessary to pay suppliers for services in full at the time of booking (for example, in peak season, for specific hotels or for group bookings). In this case, you will be asked to pay a deposit of over 20% of the total price of your arrangements. You will be advised where this is the case.
Payments can be made by bank transfer or credit cards. Payments made by credit cards may incur a fee of approximately 3.25% (per transaction) which shall be charged in addition to the holiday cost.
Payment & Confirmation
On receipt of your Booking Form and applicable payment, and providing your requested holiday is available MOVE & MOVE TOURS AND EVENTS PVT. LTD. will issue a confirmation invoice. And it is at this stage that a binding contract comes into existence between you and MOVE & MOVE TOURS AND EVENTS PVT. LTD.
Please note, though, that if you book a tailor made itinerary your accommodation, flights etc will only be requested by MOVE & MOVE TOURS AND EVENTS PVT. LTD. once your Booking Form confirmation with your deposit has been received. Prior to this no arrangements will be held on a confirmed basis by MOVE & MOVE TOURS AND EVENTS PVT. LTD. And are subject to availability at the time of receipt of the Booking Form and deposit.
MOVE & MOVE TOURS AND EVENTS PVT. LTD. cannot accept any conditional bookings, i.e. any booking which is specified to be conditional on the fulfilment of a particular request.
Your confirmation invoice, in this instance, will indicate your requested package cost and you will be advised of any accommodation, flights etc which are still on request and not confirmed at the time the confirmation invoice is issued. If waitlists are not cleared and alternatives are suggested the invoice will be amended accordingly.
If the agreed accommodation is no longer available at the time of formally confirming your travel arrangements, MOVE & MOVE TOURS AND EVENTS PVT. LTD. will reserve the right to provide alternative accommodation of equal or higher value, with your approval with the difference to be borne by yourselves.
In the rare event that included train or flight services are unavailable, alternative transport will be provided. Itinerary times are estimated and subject to change.
MOVE & MOVE TOURS AND EVENTS PVT. LTD. reserve the right to make changes in the itinerary arrangements whenever, MOVE & MOVE TOURS AND EVENTS PVT. LTD. deems it necessary for your comfort, convenience or safety.
Travel documents will be sent approximately 2 weeks before departure unless your booking is made within 6 weeks of departure in which case final documents will be sent as soon as possible. For the Subcontinent you will be handed your internal flight & train tickets and hotel vouchers by your MOVE & MOVE TOURS AND EVENTS PVT. LTD. representative on arrival at your destination.
MOVE & MOVE TOURS AND EVENTS PVT. LTD. has included in the relevant prices all government taxes which do not have to be paid locally. Those that have to be paid locally by you are extra and are your responsibility (such as international airport departure tax).
Cancellation By You
If you cancel some or all portions of your booking, cancellation fees will apply. A cancellation will only be effective when we receive written confirmation of the cancellation (via email). If you cancel your trip:
91 days or more before arrival, we will retain 5% from your deposit.
Between 90 – 31 days before departure, we will keep 50% of the total booking cost.
30 days or less before departure, we will keep 100% of the amount paid by you in connection with thebooking.
If you fail to join the tour, join it after departure, or leave it before its completion, no refund will bemade however we can help with your Insurance claim.
For reservations made during the Pushkar Fair season (November) or the
Christmas and New Year period (20th December – 5th January)
, our cancellation fees differ as follows:
More than 91 days before arrival, we will retain 10% of your deposit.
91 days or less before arrival, we will retain 50% of the total cost of the holiday.
30 days or less before arrival, we will keep 100% paid by you in connection with the booking.
If you fail to join the tour, join it after departure, or leave it before its completion, no refund will be made.
Should you wish to cancel your booking you must notify MOVE & MOVE TOURS AND EVENTS PVT. LTD., in writing stating your reason for cancelling as you may be covered by your insurance policy. Claims must however, be made direct to your insurance company.
No allowance or refund can be made for meals rooms, excursions etc. included in the price of your tour but not taken nor can any refund be made for lost, mislaid or destroyed travel tickets or vouchers. Part cancellation of a booking may result in increased costs for the remaining party members or non-payment of are fund.
Alterations or Amendments by you
Once a booking has been confirmed to you, the confirmed itinerary will be arranged. If after this you wish to alter your arrangements, after the confirmation invoice is sent, MOVE & MOVE TOURS AND EVENTS PVT. LTD. Will make every effort to assist you however, we cannot guarantee that such amendments can be made. Requests for a change must be made in writing. You must pay an amendment charge of INR 5000 perperson and any supplements involved, or other expenses incurred by MOVE & MOVE TOURS AND EVENTS PVT. LTD.. Your request may be treated as a cancellation and rebooking by our suppliers, and in these circumstances, their cancellation charges will apply.
You must pay all costs and charges incurred or imposed by any of our suppliers together with an amendment fee of INR 5000 per alternation per booking before the change can be made in the following circumstances;
If you change less than 90 days before arrival this may attract a charge depending on the changes and administration fee. In the event a change can be made
If you wish to change any aspect of your holiday after it has commenced. MOVE & MOVE TOURS AND EVENTS PVT. LTD. and/or their agents will do their Best to assist, Subject to you being responsible for any cancellation charges and additional supplements that may be levied for the new arrangements booked. All such charges and costs are payable locally.
If for any reason you suddenly decide to terminate or cancel any part of the holiday during your tour we will be unable to guarantee any refunds from the unused hotels, flights and suppliers.
If any member of your party is unavoidably prevented from taking their trip (by reasons of illness, jury service, redundancy, unavoidable work commitments or the death or serious illness of a close family member), it may be possible to transfer their place on the booking to a person acceptable to MOVE & MOVE TOURS AND EVENTS PVT. LTD.
However, it should be noted that some suppliers, including airlines, consider any change of name as a cancellation, thereby attracting cancellation fees of up to the full value of the service) provided that:

you request the transfer in writing, and you allow a reasonable time for the changes to be communicated to, and accepted by, our suppliers.
2.
the replacement party member agrees to be bound by these Conditions and all other terms of the contract between us. The administration fee will be INR 5,000/- per transfer. Both the original and replacement party member will be jointly and severally liable to MOVE & MOVE TOURS AND EVENTS PVT. LTD. For payment of any outstanding balance, together with all additional charges of whatever sort incurred by us or imposed by our suppliers providing the parts of your travel arrangements. Please note that airlines in particular sometimes charge a 100% cancellation fee and the cost of a new flight. All such Charges and costs are payable locally.
Force Majeure
Except where otherwise expressly stated in these conditions, MOVE & MOVE TOURS AND EVENTS PVT. LTD. cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our contract with you is prevented or affected by, or you otherwise suffer any damage or loss as a result of “force majeure”. In these Conditions, “Force Majeure” means any event or circumstances which the supplier of the service(s) in question or we could not, even with all due care, foresee or avoid. Such events or circumstances are likely to include but are not limited to, (actual or threatened) war, riot, civil strife, terrorist activity, industrial dispute, technical problems with transport, machinery or equipment, power failure, natural or nuclear disaster, fire, flood, drought, adverse weather conditions and level of water in rivers.
Please note that advice from the Foreign Office to avoid or leave a particular country may constitute Force Majeure. However, until the Foreign Office Advisory has issued such a notice, this Force Majeure clause shall not apply, and you shall not be able to rely on it. Therefore, if you choose not to travel or leave early where the Foreign Office hasn’t issued such advice, our usual cancellation policy and charges shall apply.
General
You agree that neither MOVE & MOVE TOURS AND EVENTS PVT. LTD., nor its affiliates, shall be liable for any damage, loss(including personal injury, death and property loss), or related expense occasioned during the tour.
